• Offer 01: n8n 1.x or Make, a Google account (Gmail, Sheets), your own OpenAI or Gemini API key, and supplier invoices as text-based PDFs (you can select the text).
• Offer 02: a browser, a Shopify shop in euros, and e-Boekhouden and/or Moneybird.
• Offer 03: an Apify account and the CPV codes for your market.
• NL shop → books setup: your shop and books already in use, and a computer you can screen-share from.

• Offer 01: your AI provider bills you per invoice, normally a fraction of a cent on mini/flash models (set a spending limit), plus your n8n or Make plan.

We never pay or resell these fees.

No, not in the download. Offer 01 reads text-based PDFs, the kind invoicing software produces. A scan or photo is detected and goes to a Needs review tab with the reason, instead of being guessed. Reading scans (OCR) is a separate done-for-you add-on.

Version 1 reads Shopify only. WooCommerce and Etsy are planned as a free update for existing buyers; we don't promise a date. Lightspeed is not covered.

No. The product is a single web page that works offline in your browser: drop in your Shopify export, download the bookkeeping files. An n8n workflow that does the same each morning is included for people who already run n8n. It is optional.

• Offer 01: UK and EU number and date formats; any currency printed on the invoice, kept as printed and never converted.
• Offer 02: euro orders into Dutch books. Non-euro orders are listed, not converted. Foreign (OSS) rates are blocked; you book those by hand.
• Offer 03: TED notices in all 24 EU languages. Keywords are not translated, so add local-language terms yourself.

No. It removes retyping and hands your bookkeeper clean, totalled data. Which VAT rate applies, and your VAT return, stay with your bookkeeper or you. This is not tax advice.

• Offer 02: about 20 minutes once, then about 5 minutes per period.

• NL shop → books setup: we do it with you: 5, 7 or 10 business days by package, counted from the discovery call and your access invites.

The downloads are self-serve: the guide walks you through each step. If you'd rather not, setup in your own accounts is a separate hands-on service: an install for Offer 01, or the NL shop → books setup for your shop and books. Either way you connect each account yourself and invite us as a user. We never need your passwords.

In e-Boekhouden: ledgers 1300 and 8000, and a relation called WEBSHOP (create it once). In Moneybird: sales btw-tarieven for 21%, 9% and 0%, and a revenue category. All codes can be changed in the tool's Settings. Have your bookkeeper confirm the VAT codes before your first import.

Use the template inside the download: in Google Sheets choose File → Import → Upload, pick sheet-template.xlsx, then Create new spreadsheet (guide §2, about a minute). You get the four tabs with the right headers and formats.

It is designed to run every morning at 06:00 (Amsterdam time) and books complete days only. We don't promise long unattended runs yet. For now, check Google Drive and n8n's Executions for the first few mornings. If Shopify access is revoked, the run stops cleanly: nothing is uploaded or remembered, and you reconnect. The browser tool is unaffected.

That's Google's rule for personal @gmail.com accounts: Make's Gmail access lasts six months. Make shows the expiry date under Connections. Before it passes, open Connections → your Gmail connection → Reauthorize, using the same Google account. If it has already lapsed, reauthorize, then retry anything under Incomplete executions. Google Workspace accounts aren't affected. Tip: set a reminder five months ahead.

One business (one legal entity). Offers 01 and 02 include 12 months of bug-fix updates by re-download. No resale of the files.

• Downloads (Offers 01 and 02): 14-day money-back on Payhip downloads. Email contact@overnightelves.com within 14 days of purchase; Overnight Elves confirms and issues the refund through Payhip. We don't promise anything outside this written policy.
• NL shop → books setup: the remedy is the fix window in your written scope (14, 14 or 30 days by package) — fix-window only, not a cash refund. If an error we made turns up inside it, we fix it and re-check.
• Fiverr orders: Fiverr's own rules apply.

Your bookkeeper may use the output for your business. A second business needs its own licence. A bookkeeper using it for several clients needs one licence per client business.

That's Apify's run start fee: $0.00005 per run, about $0.05 per 1,000 runs. Tenders you've already seen are never charged, so a run with nothing new costs only that start fee. Paid results are $3 per 1,000 new tenders. You can cap spend with Max tenders per run and Apify's Maximum cost per run.

No. You pay vendors directly, in your own name: your AI provider, n8n or Make, Apify (and the separate Sheets actor), Shopify apps and connector subscriptions. We don't pay, resell or reimburse these fees.

• Offer 01 runs in your Google and n8n or Make accounts; invoice text goes only to the AI provider you choose.
• Offer 02's browser tool makes no network requests after it opens; orders stay on your computer.
• Offer 03 runs in your Apify account.
• NL shop → books setup: Overnight Elves sees your orders only on your screen, during the video call. We keep totals per rate and the order numbers of any mismatches, never names, addresses or order exports.

• Offer 01: yes. An AI model reads the invoice text using your own API key, with copy-only instructions; numbers and dates are parsed by plain code. Review rows before you file. A done-for-you setup with fixed reading rules per supplier and no AI at run time is also available (n8n only); ask us.
• Offers 02 and 03: no AI when they run.
• NL shop → books setup: AI helps prepare checklists and documents; no AI touches your books.

We use AI-assisted development; a person tests every pack.

That depends on your provider and plan, so check their data-use terms before you connect a key. Paid API tiers generally don't train on your data; some free tiers may. We can't speak for the provider. Invoices contain business and personal data, so choose accordingly (guide §4b).

No. It reads organisation-level fields from TED only, such as buyer name and city. It never requests or outputs buyer-staff names, emails or phone numbers.

Use what you already run. If you have neither, choose n8n: it's the reference path. It detects scans and sends them to Needs review, and it retries through unread mail. Make reads PDFs through the AI step and keeps failed runs under Incomplete executions; with a personal @gmail.com account it needs reauthorizing every six months — see the Make Gmail question above. The no-AI option is n8n only.

Not in version 1, by design. Orders with a foreign (OSS) rate or a 0% sale abroad are flagged, and downloads stay locked until you decide. The tool never picks a foreign code for you. Book those orders by hand with your bookkeeper.

Fully refunded orders are left out by default and listed under Not booked with the reason. Partly refunded orders are booked at their full total and flagged, so you or your bookkeeper can add the correction. Version 1 does not create credit notes.

No. We are not affiliated with the EU or its Publications Office. The data comes only from TED, the EU's public tender journal, through its public API. National below-threshold portals (such as TenderNed) are not covered. Always check the notice on TED before you bid.

The actor searches active notices only, and after the first run it returns only tenders it hasn't delivered before. TED's website search can include other notices, so its totals can differ. Use Look back on first run (1–30 days) to pull in recent history.

Never. You invite Overnight Elves as a user in Shopify, WooCommerce, Moneybird or e-Boekhouden, and you click every Authorize yourself. Don't send passwords or API keys in any message. Overnight Elves joins every call on video and is the only party that works inside your admin. At handover we remove our access and confirm it.

We prove what your shop charges and that your books match it, within €0.01 per order. We don't decide which rate a product should carry; that is for your bookkeeper. If a rate looks wrong, we flag it in the mapping sheet as "bookkeeper to confirm", and you change it in the shop once they decide.
