Overnight Elves

The dull jobs get done at night. You get the tidy version in the morning.

We set up three small automations: supplier invoices into a Google Sheet, shop orders into your bookkeeping, and new EU tenders in your inbox. Each one has a fixed scope. Each one runs on accounts you own.

An ordinary night, for example

  1. Your shop closes the day. Orders sit in Shopify.
  2. A supplier invoice lands in Gmail. It becomes row 48 in your sheet: vendor, number, net, VAT, total, link to the PDF.
  3. TED publishes new notices. Three match your codes and countries. Those three go to your inbox. The rest of the day’s notices don’t.
  4. Coffee. Nothing to retype.
Illustrative times. Your night will look different, but not by much.

Three jobs, and only these three

We would rather do three things properly than promise “any workflow”. Here is what each one does, what it costs, and what it won’t do.

01

Invoice Inbox → Sheet

€29 blueprint pack on PayhipPlanned. Link goes here after publish.

Supplier invoices that arrive in Gmail become one row each in Google Sheets. Vendor, invoice number, dates, net, VAT, total, currency and a Drive link. A second tab adds up net, VAT and gross per month, ready for your bookkeeper.

ExampleTwelve suppliers, two currencies, one tab you can paste into the quarterly VAT return prep. Duplicates are skipped, not doubled.

The pack holds an n8n workflow, a Make blueprint, a setup guide and two sample invoices to test with.

Won’t do

  • Read scanned or photographed PDFs. Those go to a “Needs review” tab instead of being guessed.
  • Run without your own AI key. The reading step calls a language model on your account, so check rows before filing.
Ask about the invoice pack

02

Shop orders → books

€24 download on PayhipPlanned. Link goes here after publish.

Export your orders for a month, drop the CSV into a small tool that runs in your browser, and get files your bookkeeping software can import. Net and VAT are split per rate, with a check summary you can compare against your shop’s totals.

ExampleSeptember in Shopify: export, drop, import. The order data never leaves your computer.

Version one reads Shopify exports and writes imports for e-Boekhouden and Moneybird. Using something else? Tell us which shop and which books. That is how we choose what comes next.

Won’t do

  • File your VAT return or replace your bookkeeper. Have them check the VAT codes once before the first import.
  • WooCommerce or Etsy yet. Both are planned, not shipping.
Tell us your shop and your books

03

EU tender alerts

$3 per 1,000 results on the Apify StorePlanned. Apify also charges $0.00005 per run ($0.05 per 1,000 runs); we’ll say so on the listing.

You pick CPV codes, countries and a few keywords once. Each morning a scheduled run checks TED, the EU’s official tender journal, and sends only the notices that are new since yesterday. One row per tender: title, buyer, country, deadline, value, link.

ExampleCPV 72000000 (IT services), Germany and Austria, “accessibility”. Some mornings that is a few rows. Some mornings it is none, and that is fine too.

Won’t do

  • Watch national portals outside TED.
  • Write bids or promise wins. It finds tenders. Winning them is your part.
  • Speak for the EU. It uses TED’s public data; it is not an official EU product.
Send us your codes and countries

II.

How it goes

  1. You show us the pile

A few sample files, the tools you already pay for, and what “done” should look like on a Monday.

  2. We agree the scope in writing

What goes in, what comes out, how we’ll check it. If it changes later, that’s a new order. No retainers.

  3. You keep the keys

It runs in your Gmail, Sheets, n8n, Make or Apify account. We don’t host your data. You get a written run-book, so it isn’t a mystery in six months.

A few plain facts

Passwords
Never in chat. You approve each connection, and you can revoke it.
Who checks
We use AI to help write and test the code. A person runs the finished job against your samples before handing it over.
How many
About four hands-on setups a month. We’re new and would rather be slow than sloppy.
Reviews
None yet, so there are no testimonials or client logos on this page.

Write to us

Three or four sentences is plenty: what piles up, which tools you use, and whether you want the do-it-yourself pack or a hands-on setup.

Email contact@overnightelves.com. A person reads every note and replies from that address. No sales sequence.

Fill this in and press the button. It opens your email app with the note addressed to contact@overnightelves.com, ready to check and send. Nothing is stored on this site.
